How to Upload a Property


 

This article will run through how to upload a property in Lettings Uploader.

There are two ways of listing properties for rent in IRE.

*Note: This is a guide for option two, however, if you would like to know how to list your properties via option one please navigate to this guide How to List a Property

 

1. Navigate to Create New > List/ Relist Property or Properties > Uploader > Rentals > 3 Action Dots > New Property.

Option Two

1. Navigate to Properties > Uploader > Rentals and then select the Actions > New Property button.

2. Include what type of listing and if you would like to include any templates for the listing and then select the Ok button to proceed.

3. From here, you will see on the left-hand side of the page a number of fields that need to be completed.

Required Details

1. Status - Making a property a draft will save the information under your properties as a not listed property and the Early Bird and Other Portals dates will be disabled. 

Selecting current will list the property to your nominated portals as soon as you save and close this section. The other 3 Statuses will off market the property and you will be required to take the property offline within your IRE account by completing the Off List report.

 

2. Early Bird Date - If your agency decides to promote Early Bird Alerts, they can choose to make a listing current and set up an Early Bird Date. This date will prompt when the listing will be sent through to TenantApp as an Early Bird Listing. 

 

3. Marketing Date - *Note: If you put in an Early Bird date and no marketing date, your property WILL NOT upload to any additional portals other than TenantApp.

Please enter in your Marketing Date and time to go to all other portals linked to your IRE account.

 

4. Property Details - Enter the property address as best as you can for the property.

 

5. Find Location - Select the Find location button once your have entered in the details for the property so that Google maps can locate the property. This is used for the multi-run wizard as the location will help assist with driving to the property. 

 

6. Property Description - This section will allow you to include the marketing for your property. Please include the Headline and appropriate description (marketing) for the property in the appropriate sections.

 

7. Auto Appended Description - If you have set up a Template for your listings, and you did not select a template, this section will remain blank. If you did select a template, and the template has text involved for the description, the text will automatically be included in the description for you. This can be best used for the general outline of your Marketing so that the only changes needed to make are the specifics for the property that you are listing. 

 

8. General Details - Enter in the Rent (Weekly), Price View, Bond, Category of what type of premises and the Date the property is available here.

*Note: that the Price View will be the amount that shows on your advertising.

 

9. Rental Details - If you would like to, you can suspend all inspections by selecting this option. This is usually done if there is an application that is awaiting payment so that other potential applicants do not attempt to view the property that they may not have a chance in leasing.

 

10 - Property Details - Include the Bedrooms, Bathrooms and Garages for your property. Please note, this section is important as it will be used for prospective tenants within your system and may send out automatic enquiries to those tenants if their prospecting details match the criteria of the property.

 

11 - Allowances - Include if the property allows Smokers, Pets (On Application) and if the property is furnished.

 

Additional Details

1. Other Areas - Include any additional areas that apply for your property.

 

2. Feature Extraction - Select the Extract Features button and we will take the description currently in the Required Details section for the listing and see if we can automatically assign any that apply within the marketing description. Please note, that we recommend checking these features to make sure that they are 100% accurate before listing the property.

 

3. General Features - Select any General Features that you would like to note for the property here.

 

4. TenantApp Features - Select these features if they apply so that TenantApp users can use their search preferences to match the property if they have the TenantApp Feature keywords assigned to their search settings within the app.

 

The remaining fields above are additional features that can also be included for the property. Please enter the details as accurately as possible.

 

Images/Floorplans

1. Images - Upload all images for the property by selecting the Upload box and selecting the photos that you would like to enter. The first photo within this section will be used as the main photo for your listings across all portals, so please ensure that the best photo for your listing is uploaded. 
Once the photos are uploaded, you can also drag them around in the order you would like to have them in to ensure that you have the images exactly as you want before you upload the listing.

2. Floorplans - include any floorplans for the property that can be viewed at the end of the images for the property within your listing. You can upload these floorplans the same way as the images section above.

 

Links/Attachments

1. External Links - This section will allow you to include any external links (not including the ones below) to be included as a button at the bottom of each of your listings. Selecting this button will have the potential applicant view the External Link that you have placed here. 

 

2. Video Link/Video Tour Link - Include your video link in this section and if it is a video tour link, select the video tour link button. This will then be linked to any messages using the {VideoLink} or {VideoTourLink} merge fields within your IRE account.

 

3.  Virtual Tour Link - include your Virtual Tour Link here to be used as a point of quick access so you can send the link in messages to potential applicants.

 

4. Website Link - Include your website link here to be included in your portal listings at the bottom of the Listing.

 

Assigned Staff

Assign the Listing Agent's and Assigned Staff members that will be managing the property whilst it is being leased/managed.

 

Open Inspections

1. Open Inspections - Add any inspections that you would like to include to be automatically visible as soon as the property is listed to your portals. You can select the add new button to add multiple inspections.

 

Portals

1. This section will show you all portals that you are currently listing to. A green tick for Status will show that the property has sent through the most current feed to that portal. If the property has a red x, check the issues section down the left-hand side to view why this property has failed to upload to the portal.  You can also choose to include the Property Portal ID from your portals and directly include them here. Once a potential tenant enquires through to the system, the portal ID will automatically assign to the property.

 

Upload History

1. This section will show you all of the times a feed has been sent from IRE to your portals and will also show you if the feed was successfully updated to the portal. If you see that it has failed, navigate to the issues section to view the issue and if you need, please contact your account manager to also help assist you.

 

2. Once you have all of these steps completed, save & close the section and if you set it to current, it will now upload straight through to your portals.
